1. Website Infrastructure Update

The Board of Directors (BOD) reviewed the ongoing development of the SEUSKF website infrastructure in coordination with Back Sensei. The Board provided strategic guidance and recommendations to support continued improvement and long-term scalability.

The BOD directed the Secretary to contact all dojo representatives to obtain updated organizational information, including:

  • Participation in and/or hosting of official events
  • Current rank of the dojo leader
  • Confirmation of access to a high-ranking mentor who provides regular guidance
  1. Financial Matters

The BOD discussed reallocating a portion of SEUSKF funds into an account offering a higher interest rate to optimize returns while maintaining appropriate liquidity.

To improve financial transparency, oversight, and accountability, the Board approved the separation of the SEUSKF Teams Budget from the General Operating Budget.

  1. Shinsa Process Improvements

Yasui Sensei presented proposals to streamline and enhance the shinsa process.

Board members with access to the All United States Kendo Federation website will assist Yasui Sensei in verifying member eligibility for future shinsas. Tester credentials must be confirmed through the AUSKF website rather than relying solely on an individual’s menjo.

  1. Shinsa and Seminar Registration

The BOD voted unanimously to adopt JotForm as the standard platform for all shinsa and seminar registrations going forward. This decision is intended to standardize registration procedures and improve administrative efficiency.

  1. Administration of Shinsas

The BOD voted unanimously that SEUSKF will directly administer shinsas rather than delegating hosting responsibilities to local organizations.

The Board also approved the implementation of a standardized framework for hosting events at both the local and SEUSKF levels to ensure consistency, efficiency, and quality control.

Additionally, it was agreed that head examiners at shinsas should provide clear guidance to fellow examiners regarding evaluation standards and performance expectations for testers to promote fairness and consistency.

  1. Board Vacancy

The BOD formally acknowledged the resignation of a board member due to relocation. A vote to fill the vacant position will be conducted soon in accordance with SEUSKF governance procedures.

  1. Electronic Voting

The BOD reviewed its electronic voting procedures and voted unanimously to continue conducting majority votes via email when appropriate and in accordance with governing policies.

  1. New Member Acceptance

The BOD voted unanimously to accept Cha Sensei of ACE Kendo as a member dojo of SEUSKF.
